At AAC Tools, we value your privacy and are committed to protecting your data. We will only collect the data required to provide our services and the data will be protected using best practices.

These FAQs only apply to data collected through AAC Tools platform and services (not the newsletter).

Where in the world is my data stored?

Currently, all our data is stored in data centers located in the United Kingdom, specifically in London. We use AWS as our cloud service provider.

Is my data encrypted?

All your data is encrypted both in transit and at rest using industry-standard encryption protocols. However, we hold the keys required to access your data that we use to provide our services.

Will AAC Tools share my data with third parties?

We do not share your data with third parties except when required to provide our services, such as using AWS for translations. We do not sell or rent your data to third parties.

How do I translate a vocabulary with lots of personal details?

We recommend removing any personally identifiable information from your vocabulary before uploading it for translation. After the translation is complete, you can reinsert the personal details as needed.

Privacy Policy

The following part of the privacy policy applies to data collected through the AAC Tools platform and services.

Agreement

By signing up to use our services, you agree to the collection and use of information in accordance with this Privacy Policy.

Data We Collect

We only collect the data that is required to provide our services. When you register this includes:

Name
Email Address

When you are using our translation service this includes all the data in any uploaded vocabulary.

Data Access

The AAC Tools team will never access your data unless you explicitly give us permission to do so. This may be required when you contact us for help with an issue you are experiencing. In this instance we will make it clear that we need to access your data and will only do so with your permission.

Cookies

We don't use any cookies that are used to track our users. We use cookies that are essential for the operation of our website, such as session cookies to keep you logged in. These cookies do not track your activity outside of our website.

Translation

We use a third-party service, provided by AWS, to perform translations on the vocabularies you upload. During this process we send all the words in the vocabulary to AWS to translate. You can read more about AWS's Translates data protection policy here.

Cloud Provider

We use Amazon Web Services (AWS) as our cloud service provider. You can read more about AWS's privacy practices here.

If you have a licence that is shared with multiple users in your organisation then any vocabularies you upload may be visible to other users on the same shared licence.

Data Retention

We retain your data for as long as your account is active or as needed to provide you services. If you wish to delete your account, please contact us at aactools@gavinhenderson.co.uk.

Patient / Client Data

We do not recommend uploading any patient or client data to our services. Any data you upload should be free from any personally identifiable information.

For AAC vocabularies, this means ensuring that no names or other identifying information is included in the vocabulary. Those should be removed before uploading and put back after the vocabulary has been translated.

We are fully compliant with the UK Data Protection Act and EU GDPR regulations. Any questions about this can be directed to aactools@gavinhenderson.co.uk.

We will never sell your email address to third parties. We will only use your email address to send you our newsletter and occasional updates about AAC Tools.

We use Buttondown as our newsletter service provider. You can read more about Buttondown's privacy practices here.

Although Buttondown stores your data in the USA, they are fully compliant with the EU GDPR regulations.
